MathsMaxing is an independent mathematics education and tutoring service operated by Sammy Beasley, a sole trader based in the United Kingdom.

Sammy Beasley is the data controller for MathsMaxing: the person responsible for deciding how and why your personal information is used. This policy covers the website, tuition enquiries and arrangements made by email, and private tuition delivered online using Microsoft Teams.

Depending on how you use MathsMaxing, we may collect:

• your name and email address;
• information you provide through contact or tuition enquiry forms;
• information about a student's educational needs, subjects, level and goals where you choose to provide it;
• account and authentication information;
• technical and security information needed to operate and protect the website; and
• communications you send to MathsMaxing.

Enquiry details include whether you are a student, parent or guardian, your enquiry type, subject and message. Tuition correspondence may also include agreed lesson times, fees, cancellations and payment records. Technical information can include your IP address, browser, device, pages requested and request times, including information used to limit spam.

Information comes from you, a parent or guardian arranging tuition, a tutor providing your sessions, your chosen sign-in provider, or your browser when you use the website. Providing the details needed to answer an enquiry or arrange tuition is necessary for that request; without them we may be unable to help. Joining the launch list is optional.

If you join the MathsMaxing launch list, we collect the email address you submit and information identifying where the signup came from.

We use this information to send occasional MathsMaxing launch, resource and service updates that you have asked to receive.

You can withdraw from marketing communications at any time using an unsubscribe option in an email or by contacting MathsMaxing.

Signing up is your consent to these emails. Making an enquiry or booking tuition does not itself subscribe you. We also retain signup and unsubscribe records so we can administer the list and respect your preferences. Unsubscribing stops marketing; it does not stop necessary replies or messages about tuition you have booked.

When you contact MathsMaxing, we use the information you provide to understand your enquiry, respond to you and, where appropriate, discuss or arrange tuition.

Please avoid including information that is not relevant to your enquiry.

We use Microsoft Teams for online private tuition. Depending on how you take part, the session involves your display name, live audio and video, chat messages, and any work or screen content you share. Microsoft processes information to provide Teams; its handling also depends on the account and service used. See Microsoft's privacy statement.

MathsMaxing does not currently record private tuition sessions. Relevant personal information and tuition files are kept on Sammy Beasley's computer, as well as in the email or online services through which they are exchanged. We use these files to prepare and deliver tuition and respond to students' learning needs.

Booking private tuition does not authorise publishing a student's image, voice or work in promotional material or public broadcasts.

If you create a MathsMaxing account, information such as your name, email address and authentication information is used to create, secure and administer your account.

Where you choose a third-party sign-in provider, information necessary to authenticate your account may also be exchanged with that provider.

Personal information may be used to:

• provide and administer tuition;
• respond to enquiries;
• operate and secure MathsMaxing accounts;
• provide services that you request;
• prevent abuse, fraud or misuse of the website;
• comply with legal, accounting or regulatory obligations; and
• send communications where you have asked to receive them or where they are otherwise lawfully permitted.

• Contract: handling your request to book, providing tuition you have agreed to purchase, and managing the associated payments and service messages.
• Legitimate interests: answering general enquiries, maintaining accounts and website security, understanding overall website usage, and managing complaints. Our interests are improving our website, running a reliable tutoring service and protecting it and its users from misuse. We consider whether your privacy rights outweigh those interests.
• Student information:where a parent is the customer, we rely on legitimate interests to use the child's ordinary learning information to plan and provide their tuition, taking particular account of the child's rights and reasonable expectations.
• Consent: optional launch-list marketing. You can withdraw it at any time without affecting tuition or the lawfulness of earlier use.
• Legal obligations: keeping records required by tax and accounting law and responding to legally binding requests.

MathsMaxing uses specialist service providers to operate parts of the website and its services. These may include website hosting, authentication, database, email, security and communications providers.

Personal information is shared only where reasonably necessary for those services or where required by law.

• Vercel: website hosting, delivery, operational logs and Web Analytics.
• Supabase: account authentication and database storage, including the launch list.
• Resend: delivering contact-form enquiries to MathsMaxing and sending launch-list emails.
• Cloudflare Turnstile: checking for automated abuse where a security challenge is enabled on an account form.
• Google or Microsoft: authenticating your account if you choose an available sign-in option. Their own privacy notices also apply to their services.
• Microsoft Teams: online tuition calls and related messages or files shared through Teams.

A tutor working on behalf of MathsMaxing receives only the contact, scheduling and learning information needed for their work. Relevant information may also be shared with professional advisers or an appropriate authority where necessary to meet a legal duty, deal with a claim or protect someone from harm.

Our technology providers operate internationally, including in the United States. Information may be processed or accessed outside the UK. UK law requires a recognised adequacy arrangement or another valid transfer mechanism for restricted transfers, such as approved contractual safeguards and any necessary supplementary protection.

The providers' data-processing terms describe their transfer arrangements: Vercel, Supabase and Resend. Contact us for information about the safeguards relevant to your data or to request a copy.

Where you use account features, Supabase uses authentication cookies to keep you signed in and secure your session. The current website configuration gives these cookies a maximum lifetime of 400 days; they may be renewed during use or removed on sign-out. Blocking them can prevent sign-in from working. Browser settings let you inspect and delete stored cookies.

We use Vercel Web Analytics to understand website traffic. Its statistics include page addresses, referral sources, visit times, approximate location and browser/device information. Vercel describes this service as using a request-derived visitor hash rather than third-party cookies, with visitor sessions discarded after 24 hours. This does not mean all statistics or hosting logs are deleted after 24 hours. See Vercel's analytics privacy information.

Personal information is kept only for as long as reasonably necessary for the purpose for which it was collected, including providing services, responding to enquiries, maintaining necessary business records and meeting legal obligations.

Retention periods may therefore differ depending on the type of information and the reason it is held.

• Enquiries and tuition correspondence: the time needed to resolve the enquiry, provide the agreed tuition and deal with any related complaint or claim.
• Student work and lesson files: while relevant to current tuition or an agreed continuation of it, with any longer retention limited to a specific need such as an unresolved complaint or legal requirement.
• Accounting records: the statutory period applicable to the type of record and our business's tax obligations.
• Account information: while needed to operate the account, subject to deletion requests and any justified legal or security retention.
• Launch-list information: while you subscribe. Unsubscribe records are kept to prevent further unwanted marketing and document your preference; unsubscribing does not automatically erase the database record.
• Technical records: retention depends on the hosting or security service, its settings, and whether an incident needs investigation. Backup copies may remain until their normal expiry or replacement.

Deleting a website account does not automatically delete separate enquiry emails, tuition records or launch-list entries. Contact us to request deletion across these records; we will explain any information we need to retain and why.

Reasonable technical and organisational measures are used to protect personal information against unauthorised access, loss, misuse or disclosure.

No online system can guarantee absolute security, but MathsMaxing aims to use appropriate safeguards for the nature of the information processed.

Depending on the circumstances, data protection law may give you rights in relation to your personal information, including rights to request access, correction, deletion, restriction or objection, and in some circumstances data portability.

You can also withdraw consent where processing is based on your consent.

Your right to object: you can object to our use of your information for legitimate interests because of your particular situation. You can object to direct marketing at any time, and we will stop using your information for that purpose.

We normally respond to rights requests within one calendar month and without a fee. We may need proportionate information to confirm your identity. If a lawful extension or exception applies, we will explain it and any further time needed.

Tuition frequently involves children and young people. Parents, guardians and students should provide only information that is reasonably relevant to arranging or providing the educational service.

MathsMaxing does not ask students to provide unnecessary sensitive personal information through the public website.

Students have their own privacy rights. A parent's access to a child's information is not automatic: we consider the child's understanding, wishes, best interests and any authority for the parent to act. We can explain this policy in simpler language if a student would like help understanding it.

Health information and some details about special educational needs or disabilities receive extra legal protection. Please do not send medical reports or diagnostic details through a general enquiry form. If adjustments are needed, contact us to discuss what information is necessary and how it will be handled before sending sensitive documents. Accepting this policy is not explicit consent to use health information.

If unsolicited sensitive information arrives by email, we will limit access and assess whether it is needed. Unnecessary details will be deleted or redacted unless there is a lawful reason to retain them. Before using necessary health or disability information to plan tuition, we must identify a lawful basis and an additional condition for sensitive data, explaining these to you and obtaining explicit consent where that is the condition relied on.

We use information about you to organise your maths lessons, understand what help you need and keep your account safe. Your parent or guardian may give us information when arranging lessons. Your tutor receives what they need to help you learn. You can ask what information we have, ask us to correct it, or ask us about deleting it. Sometimes we must keep certain records, and we will explain why. You can email hello@mathsmaxing.com yourself or ask a trusted adult to help.

To complain about how we handle personal information, email hello@mathsmaxing.com and describe your concern. We will acknowledge your complaint within 30 days, investigate without undue delay and tell you the outcome, keeping you informed where appropriate.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK data protection regulator. Visit the ICO complaints page for its contact details and how to raise a concern.

This Privacy Policy may be updated as MathsMaxing develops or the services we provide change.

The latest version will always be published on this page.

We will explain material changes to how we use your information before starting a new use, and obtain consent where required. Updating this page does not itself provide consent.
